POSITION OVERVIEW
Reporting to the Registration Coordinator, the Registration Officer will be responsible for undertaking a range of administrative tasks for the purpose of maintaining efficient and accurate records for our HOTA Gallery. You are responsible for coordinating the day-to-day care, documentation, digitisation, development, storage, and display of both the City Art collection and loans to HOTA Gallery.
KEY RESPONSIBILITIES
Maintaining and enhancing of the Gallery's Collection Management System - Vernon CMS through accurate electronic record keeping, accessioning, cataloguing, location control, and implementing digitisation.
Work closely with the Registration Coordinator and Collections Officers to undertake Collection stocktake, including sighting, research and reconciliation of records and documentation. Undertake regular inventories of galleries, storage areas and packing units.
Assist in the delivery of the Corporate Collection program.
Assist the Registration Coordinator to prepare statistics and reports on Collection and Exhibition activities.
Assist with the preparation of documentation for loans and acquisitions, packing/crating and installation manuals, national and international transportation schedules, and insurance/indemnity applications.
Under the direction of the Registration Coordinator, liaise with lenders, transport companies, and insurance providers.
Performing front-of-house duties and associated responsibilities
Complying with all Statutory Acts and Regulations relevant to this position
Referring matters that may impact upon the business and employees of HOTA to the relevant supervisor or manager.
Supporting the Collections Manager as required.
SELECTION CRITERIA
The incumbent will be able to demonstrate skills / experience in:
Extensive knowledge and experience using Vernon Collections Management System (or similar CMS) and associated record management programs including databases and spread sheets.
Knowledge of international museum standards for registration methods as relevant to the position, including physical tasks associated with handling works of art and museum objects.
Knowledge of Australian and International art and visual culture as relevant to the position.
Proven ability to successfully complete administrative tasks to deadline, with high-level attention to detail.
Excellent communication skills, both written and verbal.
Proven ability to work cooperatively in a team environment and to exercise initiative.
Previous experience working within a gallery or museum environment.
Experience using Adobe Suite would be advantageous.
QUALIFICATIONS
Relevant tertiary qualifications (or equivalent) in Visual Arts, Curatorial or Museum Studies
Current Police Check, or willingness to obtain
Current Working with Children's Check/Blue Card, or willingness to obtain
